Global Events Planner

A national Technology Company in Atlanta, GA is seeking a Global Events Planner for a full-time opportunity. This individual must be team-oriented, passionate and an experienced event planner. They will be managing and producing meetings, events and tradeshows from concept through to execution. The Global Events Planner will be responsible for providing outstanding customer service and organizing experiential events that help shape perceptions of corporate purchasers and agency influencers that generate millions in B2B revenue.

Global Events Planner Responsibilities: 
  • Handle the pre-planning and onsite execution of meetings & special events that range in size, generally starting at 1,000+ attendees
  • Contract negotiations (hotel, venues, staff), budget management, VIP/Executive support, registration database administration, menu curating
  • Coordinating all event logistics (i.e. branding, wayfinding, transportation, housing and audio-visual production)
  • Delivering detailed and timely event documents and specifications that includes budget outlines, project timelines, event resumes, meeting logistics/run of show layouts, guest lists, know before you go type documents
  • Proactively finding solutions to problems and devise thoughtful contingency plans that align with the strategic direction of the event or task requested by management. 
  • Crafting & presenting high level event materials (i.e. run of show briefings, event analysis spreadsheets, budgets) 
  • Leading pre-planning meetings with internal project teams and external hotel/DMC/vendor partners
  • Maintaining professional demeanor and fosters relationships with all suppliers and partners to ensure that services and materials are handled to reflect company standards and expectations
  • Managing an event budget in its entirety plus provide a detailed summary of forecasted spend in addition to identify cost saving opportunities and communicate any potential risks
  • Completing post-event tasks that includes reconciliation of expenses, evaluation of event, report out on meeting results and provide recommendations for future meeting improvements
Global Events Planner Requirements:
  • A BA in communications, marketing or other relevant field is required
  • Must have 7+ years of global event planning experience
  • Knowledge and an understanding of the tradeshow space 
  • Act as the liaison between the internal and external stakeholders and maintain direct contact with all parties regarding project status, related logistics, gathering graphic production files, sending proofs for approval, inventory management and logistics, development of floor plans, and service layouts
  • Understands how to complete site inspections and manage event programs onsite
  • Must be comfortable traveling up to 45% domestically/internationally
