Event Coordinator

Our client is seeking a talented Event Coordinator for a temporary 6 month opportunity in Newark, NJ.  For this position, you will work to provide logistic oriented support for the conference planning role directly for pre, on site, and post meeting and event support.  

Event Coordinator Responsibilities: 
  • Data entry and data formatting using MS Excel and PowerPoint
  • Shipping and receiving for meetings
  • Venue research
  • Update itineraries and run of show
  • May work with branding, communications, décor, F&B 
  • Facilitate parking, transportation, security and vendor needs 
  • Complete meeting website invitation support including builds, updates and reporting
  • Provide on-site support for events for registration and/or as needed  
  • Enter logistical requests for events which are hosted at the on-site conference center
  • Create and maintain reporting for programs
  • Create and print badges for conference attendees 
  • Compile meeting feedback 
  • Handle administrative logistics as requested by the meeting planner
  • Order supplies and premium items 
  • Assist with reservations in systems 
Event Coordinator Requirements: 
  • Proficient with MS Office Suite (Excel/PowerPoint); understanding of Excel formulas/pivot tables and the ability to work within PPT templates
  • High degree of motivation as well as being able to quickly master new challenges
  • Ability to work independently 
  • Strong time management and organizational skills, with the ability to handle multiple tasks simultaneously 
  • Excellent communication and interpersonal skills 
  • Ability to professionally service peers and management as customers in the office and on site
  • Ability to work under tight deadlines and a fast-paced environment
  • Experience with Etouches and/or Cvent a plus
